Why use a template
Most maintenance teams start in Excel. A clear maintenance plan helps you see what is due before work slips. This template is ready to open in Excel or Google Sheets.
Use one sheet for the whole site at first. Keep intervals realistic, update the last-done date when the job finishes, and review overdue rows every week.
How to use it
Add your assets, set each interval, fill in the last completed date, then set the next due date. Once a week, filter by status or due date to catch overdue work.
Tips that keep the sheet useful
- One owner per row so updates do not collide
- Write intervals in plain language and in days so you can sort
- Mark overdue openly. Hidden red cells help nobody
- Store photos and signatures outside the sheet, or move to software when proof matters
What is in the file
- Asset number and name
- Location
- Task and interval (plus days for sorting)
- Last done and next due
- Owner, status, proof notes, and remarks

Download CSVWhen Excel stops working
- Several people update the same sheet and versions drift
- Technicians need the plan on the floor, often offline
- You need photos, signatures, and a clear history per asset
